Administrative and Project Assistant

Razom We Stand was founded in April 2022 by Ukrainian climate and peace activists aimed at isolating and constricting Russia's fossil fuel industry to end the war in Ukraine and accelerate Europe's transition towards renewable energy.

Location: worldwide

Remuneration: Depending on experience (including unpaid and other occasions) and capacity to take on responsibility. 

FTE Status: Full-time 

Start date: Ideally, as soon as possible

Reports to: Director

About Us: Razom We Stand was founded in April 2022 by Ukrainian climate and peace activists aimed at isolating and constricting Russia's fossil fuel industry to end the war in Ukraine and accelerate Europe's transition towards renewable energy. 

About You: This role requires an energetic, dedicated, detail-oriented person who can manage multiple tasks under supportive managerial guidance. This individual must be a team player with an entrepreneurial problem-solving spirit, willingness to learn and ability to adapt to shifting priorities with excellent oral and written communication skills and be able to organise their work using tools. If you also have previous experience as a project manager and executive administrative assistant and are familiar with our scope of work, we’d like to meet you.

On any given day, a person may perform a variety of tasks, such as:

Executive support

  • Process Directors’ requests and provide relevant information;
  • Organise, compile, and update company personnel records and documentation;
  • Plan and organise meetings and keep track of requests; work with Asana to set up the team tasks;
  • Create meeting agendas and take minutes
  • General administrative support for the Director of the organisation.

Project management

  • Develop concrete, detailed plans for a project, including the schedule the budget, outlining the duties of each team member, identifying project goals, and setting a timeline for the project
  • Delivering projects on time, within budget, that meet (and hopefully exceed)expectations.
  • Setting, communicating and maintaining timelines and priorities on every project
  • Managing operational and administrative functions to ensure specific projects are delivered efficiently. 
  • Providing leadership, motivation, direction and support to your team
  • Travelling to on-site inspections and project managing events

Communication

  • Act as the first point of contact by maintaining and responding to the organisational email and general inquiries.
  • Receive and sort organizational mail.
  • Administer account access for organisational services.

Administrative

  • Collecting information needed for external stakeholders.
  • Provide information by answering questions and requests
  • Create presentations
  • Make translations when needed 
  • Generate reports
  • Prepare and monitor office expenses
  • Contribute to team effort by accomplishing related results as needed

Overall

  • Handle sensitive information in a confidential manner
  • Contribute to a high-performing, collaborative, and flexible startup team environment, co-creating and fostering organisational culture and values.
  • Prepare communications, such as memos, emails, invoices, reports and other correspondence.
  • Write and edit documents from letters to reports and instructional documents.
  • Create and maintain filing systems, both electronic and physical
  • Manage accounts and perform bookkeeping. Submit and reconcile expense reports
  • Other tasks.

Requirements and skills

  1. High School degree and proven experience as a project manager and administrative assistant (minimum 2 years experience); 
  2. Proficiency in MS Office (MS Excel and MS PowerPoint, in particular); 
  3. Skilled in project management; 
  4. Excellent time management skills and the ability to prioritize work; 
  5. Attention to detail and problem-solving skills; 
  6. Excellent written and verbal communication skills; 
  7. Strong organizational skills with the ability to multi-task; 
  8. Comfort and experience working remotely. 
  9. Have an excellent command of English (at least C1 level). 

Desired Skills and Experience:

  1. Experience in climate campaigning.
  2. Familiarity with climate justice, transition narratives, issues, and supply-side fossil fuel policy.
  3. Experience in advancing campaign goals and influencing policymakers.
  4. Good understanding of Central Eastern European political and social realities. 
  5. Good working knowledge of software including Canva, Google Suite, Slack, Asana, WordPress, Zoom, Instagram, TikTok, and HR tools (Bamboo HR).
  6. Design compelling presentations    

Abilities:

- Attention to detail and accuracy.
- Flexibility and comfort working across and juggling multiple issue areas and projects and doing rapid response work when needed.
- Ability to quickly absorb new information and take the initiative to learn independently when appropriate.

  • 30/12/2023 - 2/01/24 all staff off days. 
  • Additionally, there are four days to cover some bank holidays yearly.
